Client communication guide
English phrases for responding to client pushback.
Pushback usually contains an underlying risk: cost, timing, credibility, or loss of control. A useful response answers that risk before defending the original plan.
Acknowledge without surrendering the point
- “You’re right to ask what is different this time.”
- “I understand that the main concern is delivery risk, not only the date.”
- “Let me answer the cost impact directly.”
Offer evidence and options
The new date is based on a smaller scope and one accountable owner, not more optimistic effort. We have two options: deliver the core workflow Thursday, or keep the full scope and move to Tuesday. Which tradeoff better protects your launch?
Avoid these patterns
- Saying “I understand” without addressing the risk.
- Repeating the same promise more firmly.
- Offering options that hide their consequences.
- Ending without a decision owner and deadline.
